Rules and Regulations – INCOFIMS & INCOBIFS 2025

A. Paper Submission and Publication

  1. All submitted papers must be original and unpublished. Duplicate or simultaneous submissions to other events or journals are not allowed.
  2. Authors and co-authors are encouraged to inform their institution (Department Head, Supervisor, etc.) regarding their participation and submission.
  3. Proper affiliations and contact information of all authors must be clearly stated in the manuscript.
  4. Submissions after the final registration deadline may not be accepted.
  5. All papers will be peer-reviewed by at least two independent reviewers appointed by the scientific committee.
  6. Authors’ personal information (such as emails) will not be published publicly.
  7. Any change in authorship (additions, deletions, or order of authors) after registration must be approved by all listed authors.
  8. Only registered papers will be considered for presentation and publication.
  9. The submitting author is assumed to be the principal author unless otherwise indicated.
  10. If any complaint arises concerning authorship or originality and is validated, the paper may be withdrawn.
  11. Withdrawn papers will not be republished or redistributed.
  12. The organizers do not assist with visa applications. Visa processing is the participant's own responsibility.
  13. In case of visa rejection, a refund of registration fees may be considered only before the final registration deadline.
  14. The organizers do not guarantee visa issuance or take responsibility for any related outcomes.

B. Conference Attendance

  1. All participants must register via the official website or through authorized confirmation from the organizing committee.
  2. Participants must regularly check the official website for updates and announcements.
  3. The organizing committee reserves the right to modify the venue or dates. All registered participants will be informed accordingly.
  4. Participants must maintain professionalism and refrain from any disruptive behavior during the conference.
  5. A valid ID must be presented at the registration desk.
  6. Conference kits are limited; if unavailable during the event, they may be sent via post afterward.
  7. Late arrivals may not be allowed to present.
  8. Activist disruptions or political propaganda will not be tolerated.
  9. The committee reserves the right to publish photos and video materials from the event.
  10. The committee is not responsible for travel losses due to event cancellation or postponement, although registration fees will be refunded.

C. Journal Publication

  1. The scientific committee will select eligible papers for journal publication.
  2. Papers submitted to Scopus or WoS-indexed journals may incur additional charges and longer review times (3–12 months).
  3. Registration fees are non-refundable if papers are not selected for indexed journal publication.
  4. Journals may require expanded manuscripts (minimum 20% content development) before consideration.
  5. Round-2 reviews for selected journals may take 25–60 days post-conference.
  6. All journal partners hold valid ISSN registrations.
  7. Authors requesting hard copies may be charged separately.
  8. The journal editorial board has final authority to accept or reject papers after peer review.

D. Plagiarism Policy

  1. All submissions are screened for similarity using plagiarism detection tools. Excessive similarity will result in rejection.
  2. Minor cases may be allowed for revision and resubmission. Major plagiarism will result in automatic rejection.
  3. Post-publication plagiarism discovery will result in paper retraction until resolution.
  4. Severe violations (plagiarism, fake authorship, identity fraud) will result in permanent blacklisting and notification to indexing services.
  5. Self-plagiarism will be handled similarly.

E. Legal Disclaimer and Declaration

  1. INCOFIMS and INCOBIFS are initiatives under the scientific and academic framework of Universitas Airlangga.
  2. These conferences are independent and not affiliated with any commercial publisher.
  3. Editorial members are academic volunteers and not employees of the organizing committee.
  4. The organizing committee has full rights to accept, withdraw, or modify submissions at any stage.
  5. Participants violating the code of conduct or submission rules may be banned from future events.
  6. All rights related to content distribution, review management, and publication are reserved by the organizing institution.

F. Conflict of Interest and Ethical Compliance

  1. Authors must disclose any potential conflict of interest that may influence their research or its presentation.
  2. Research involving human or animal subjects must have prior ethical approval from an institutional review board and must include an ethics statement upon request.
  3. All co-authors must have made substantial contributions to the work and approve the final version of the manuscript.

G. Code of Conduct and Anti-Harassment Policy

  1. All participants must maintain respectful and professional behavior toward all individuals throughout the event.
  2. Any form of harassment, discrimination, or intimidation is strictly prohibited and may result in expulsion and blacklisting.
  3. Recording or distributing presentation materials without prior consent is not permitted.

H. Technical Requirements for Onsite Presentations

  1. Presenters must ensure their presentation files (PPT or PDF) are compatible with standard Windows-based equipment provided at the venue.
  2. Technical issues caused by incompatible file formats or late file delivery may result in loss of presentation slot.
  3. The organizing committee will provide projector, laptop, and standard audio-visual support at the conference venue (Hotel Harris, Bali).
  4. All presentation materials submitted to the committee remain the property of the presenter but may be documented for internal archiving or event highlights.

I. Withdrawal and Refunds

  1. Withdrawal after final acceptance and registration is generally non-refundable, unless under exceptional verified circumstances.
  2. Refund requests must be submitted in writing and will be evaluated individually by the committee.

By registering, authors and participants agree to abide by all rules stated above.
