Rules and Regulation

1. Introduction and Conference Theme

The Faculty of Health, Medicine, and Life Sciences, Universitas Airlangga, cordially invites academics, researchers, practitioners, postgraduate students, and policymakers to submit their scientific work to the International Conference "One Health Synergy: One Health for Sustainable Future," to be held on 16–18 October 2026 in Banyuwangi, East Java, Indonesia.

The conference brings together multidisciplinary perspectives from human health, animal health, and environmental sciences to address pressing global challenges through the One Health approach. This document sets out the official rules and regulations governing the submission, review, and presentation of abstracts, full papers, and posters for the conference.

2. Key Dates

The table below summarizes key milestones for the submission and review process. Dates marked as provisional will be finalized and published on the official conference website and through the conference management system prior to the opening of submissions.

3. Submission Categories

Prospective participants may submit their work under one of the following three categories. Each category is subject to a distinct format, review process, and presentation requirement.

Authors must indicate their intended submission category at the point of submission through the official conference management system. A change of category after submission must be requested in writing to the Secretariat and is subject to approval.

4. Scope and Topics

Submissions should align with the One Health theme and fall within, but are not limited to, the following tracks:

Submissions outside these tracks may still be considered if the Scientific Committee determines a clear and substantive relevance to One Health and sustainable development.

5. Rules for Abstract Submission

5.1 Format Requirements

• Language: English (English is strongly encouraged for international visibility).
• Length: maximum 250 words, excluding title, authors, and affiliations.
• Structure: Background, Objective(s), Methods, Results, Conclusion (structured abstract format required for research-based submissions).
• Keywords: 3–5 keywords, listed alphabetically.
• Font and formatting: Times New Roman, 12pt, single-spaced, as specified in the official abstract template.
• File format: Microsoft Word (.doc/.docx) or as specified by the submission system.

5.2 Authorship

• A maximum of one (1) corresponding author and up to six (6) co-authors per abstract, unless otherwise approved by the Scientific Committee.
• All listed authors must have made a substantive contribution to the work and must consent to its submission.
• Each presenting author may submit a maximum of two (2) abstracts as first/presenting author. There is no limit on co-authorship.

5.3 Review Process

All abstracts will undergo blind peer review by the Scientific Committee for relevance, originality, scientific merit, and clarity. Authors will be notified of acceptance, rejection, or requested revision by the date indicated in the Key Dates table. Decisions of the Scientific Committee are final.

6. Rules for Poster Presentation

6.1 Eligibility and Content

The poster track is intended for research in progress, preliminary or pilot findings, case reports, community engagement projects, and field-based One Health initiatives that are best communicated visually.

6.2 Format Requirements

• Poster size: A0 (841 × 1189 mm), portrait orientation, unless otherwise specified by the venue.
• Content: Title, authors and affiliations, background, objectives, methods, results, conclusion, and key references, presented with clear visual hierarchy (minimal text, supportive figures/charts).
• Submission for review: an extended abstract (250–300 words, same structure as Section 5.1) must be submitted and accepted before the final poster file is required.
• Final poster file: high-resolution PDF, submitted by the camera-ready deadline.

6.3 On-Site Presentation

• Presenting authors must be physically present at their assigned poster station during the designated poster session and be prepared to discuss their work with attendees and judges.
• Failure to attend the assigned session without prior written notice to the Secretariat may result in withdrawal from the proceedings and forfeiture of any certificate of presentation.

7. General Submission Regulations

1. All submissions must be made exclusively through the official conference management system: LeConfe / e.conference UNAIR. Submissions sent by email or any other channel will not be accepted or reviewed, unless the Organizing Committee announces an alternative arrangement in writing.
2. Each submission must include complete and accurate author information, including full name, affiliation, email address, and ORCID iD (if available) for every listed author.
3. Authors must designate one corresponding author responsible for all communication with the Organizing Committee.
4. Submissions must be the original work of the listed authors. Plagiarism, data fabrication, falsification, duplicate submission, and undisclosed use of generative AI tools in a manner that misrepresents authorship are considered serious violations of academic integrity and will result in immediate rejection or disqualification.
5. At least one author of each accepted submission must register for the conference and be available to present the work for the submission to be included in the final program and any proceedings.
6. The Organizing Committee reserves the right to reject, withdraw, or remove from the program any submission that violates these regulations, ethical standards, or applicable law, at any stage of the process.
7. Submission of an abstract, full paper, or poster constitutes the author's consent for the Organizing Committee to reproduce the work, in whole or in part, in the conference program, abstract book, proceedings, and promotional materials, with appropriate attribution.
8. All decisions made by the Scientific Committee regarding acceptance, rejection, or category placement of a submission are final and not subject to appeal, except in cases of demonstrable procedural error.
9. The Organizing Committee is not responsible for submissions lost, delayed, or corrupted due to technical issues outside its direct control. Authors are advised to retain proof of submission and to submit well in advance of deadlines.
10. Registration fees, payment methods, and refund policy will be announced separately by the Organizing Committee.

8. Ethical Considerations

Research involving human participants, animal subjects, or sensitive environmental/community data must comply with relevant ethical standards and regulations.

• Studies involving human subjects must state approval from an accredited Research Ethics Committee/Institutional Review Board, including the approval/protocol number.
• Studies involving animal subjects must state compliance with applicable institutional and national animal welfare and research ethics guidelines.
• Authors must disclose any actual or potential conflict of interest, including funding sources, at the time of submission.
• Informed consent procedures must be described where applicable, and identifiable participant information must not be included without explicit consent.

9. Submission Procedure

1. Register for an account on the official conference management system, LeConfe / e.conference UNAIR.
2. Select the appropriate submission category.
3. Download and use the official template provided within the system for the selected category.
4. Complete all required author and submission metadata fields accurately.
5. Upload the manuscript/abstract file in the required format prior to the relevant deadline.
6. Retain the system-generated submission ID and confirmation receipt for all future correspondence with the Secretariat.
7. Monitor the registered email address and the conference management system regularly for review status updates, revision requests, and further instructions.
