Preparation Guide for The 5th INCOBIFS
1. Preparation Before the Conference
1.1 Abstract and Full Paper Submission
- Make sure you submit your abstract and full paper by the deadlines set by the conference organizers.
- Follow the submission guidelines provided by The 5th INCOBIFS, including rules on formatting, length, and required sections.
1.2 Presentation Slides
- Create a PowerPoint or similar slide deck for your presentation.
- Use a large, easy-to-read font (at least 24pt for text).
- Keep the text on each slide minimal. Use bullet points, images, charts, and graphs to illustrate your points.
- Start with a title slide that includes your presentation title, your name, your affiliation, and the conference name and date.
1.3 Practice Your Presentation
- Practice your presentation to ensure it fits within the given time limit (usually 15-20 minutes, including time for questions).
- Speak clearly and at a steady pace.
- Rehearse multiple times and, if possible, get feedback from colleagues.
2. At the Conference
2.1 Registration
- Arrive early at the conference venue and register at the registration desk.
- Pick up your conference materials, such as your name badge and program schedule.
2.2 Technical Check
- Check the conference schedule to know when and where your session will take place.
- Arrive at the session room at least 15 minutes early to meet the session chair and test the equipment (like the microphone and projector).
- Bring a backup copy of your presentation on a USB drive and/or email it to yourself.
2.3 During Your Presentation
- Start by introducing yourself and briefly summarizing your main points.
- Speak clearly and at a comfortable pace, making eye contact with the audience.
- Use your slides to support your talk, but don’t read directly from them.
- Keep track of time so you can cover all your points without rushing.
- End with a summary of your key findings and their significance.
3. Question and Answer Session
3.1 Engaging with the Audience
- After your presentation, invite the audience to ask questions.
- Listen carefully to each question, and if needed, repeat it so everyone can hear.
- Give clear and concise answers. If you don't know the answer, it's okay to admit it and offer to find out later.
3.2 Handling Difficult Questions
- Stay calm and collected if you get challenging or critical questions.
- Answer the question as best you can and be respectful.
4. Networking and Follow-Up
4.1 Networking
- Take advantage of breaks, meals, and social events to meet other attendees.
- Exchange contact details with those interested in your research.
4.2 Follow-Up
- After the conference, follow up with any new contacts via email or LinkedIn.
- If you promised to share additional information or materials, do so promptly.
5. General Tips
5.1 Professionalism
- Dress appropriately and follow the conference dress code.
- Be polite and courteous to other presenters, attendees, and conference staff.
5.2 Adaptability
- Be ready for any technical issues and have a backup plan.
- Be flexible and adapt to any changes in the conference schedule or format.
